Back End Processing Center Complications
INITIAL REVIEW:
I had high hopes when I signed up with Kibo Pay. The sales process was smooth and well-handled, and I want to acknowledge that Maria was excellent in that role — I’d hire her as a salesperson without hesitation.
Unfortunately, once I began using the platform, the experience took a sharp turn for the worse.
Every single client charge I attempted was declined — except for one.
That one charge — for $1,033 on May 20, 2025 — went through, but I never received the funds.
The account now shows it a refund “settled” (as of June 9), but my client has not received their money either.
I’ve now spent over a month trying to get clarity, documentation, or resolution — with no success. Communication has been inconsistent, timelines have been vague, and no one has explained why the funds I worked for were withheld.
I initially switched to Kibo Pay thinking I’d save money by charging the 3% processing fee to clients instead of absorbing it myself. In hindsight, I should have just added the 3% to my pricing and stayed with my original merchant provider — because this “savings” has cost me countless hours, unpaid labor, and serious stress.
At this point, Kibo Pay is holding funds with no valid explanation, and I’ve had no choice but to advise my client to file a chargeback and begin submitting formal complaints.
Bottom line: this has been a waste of time and energy. A strong sales experience does not make up for a platform that fails to deliver the most basic function of merchant services — getting paid.
UPDATE:
My client had the refund since June 13, but didn't see it until I got the confirmation proof from Kibo pay last week.
So overall there was error on my end because my client didn't see the refund, but they still didn't give me the proper documentation to show him until 7/3/25, so had I had it sooner, this issue would have been avoided - not to mention, I shouldn't have needed a refund to begin with because his charge should have just gone through to me upon submission.
Overall I still don't recommend based on the merchant service companies they work with Fluid Pay and Merchant Lynx but at least they didn't steal my money like I thought.

I would give zero stars! I had Kibo for a few years and should only pay monthly fees. Every year I was charged ( money taken from my account) annual fee as they couldn’t set their system right.
Now, I’m out of business for 11 months and annual fee was taken again from my account. Takes time and effort to get it back. No warning, no email just - money gone. So run ( don’t walk) from doing business with Kibo.

We are a small Dermatology office. For our practice, using Kibo has been a great experience. It is efficient and easy. They do all the work for you! Shirley is our representative that set us up and I can't say enough nice things about her. She is a definite 10 out of 10 for us! She answers our concerns immediately and is so on top of her job! The entire experience from implementation to our current use has been seamless and easy. I highly recommend Kibo Pay for any business that is tired of paying all the cc fees!
Ms. Crystal with Kibo is Awesome
We have been using Kibo for a little while at our small pharmacy for card payments when our old system was charging us way too much. It has been great and the support is wonderful. Ms Crystal has helped us in all our learning curves and helped me today with an especially annoying refund that would not work because of the credit card company. She walked me through it and it was finally fixed after weeks of back and forth with the customer and bank. Thank you Ms Crystal. Highly recommend.
