The system is self intuitive for use and the interface is definitely user friendly.
My personal advice:
- For being advertised as a superior expense management system, it lacks basic functionalities. For instance, as part of the OCR process, the system does not automatically checks the validity of a VAT number against public VIES source. It would be helpful, if such functionality can be implemented and as part of the OCR process if a discrepancy is identified between the name of the customer as per the invoice against what is listed as part of the public VIES records, to update the information accordingly within the system. We fully understand that this will not always be possible as some jurisdictions do not share the legal name of the entity owning the specific VAT number but at least, it will be clear that the VAT number is valid. Lack of such functionality resulted of same level of manual input in reviewing expense invoices as before as we have primarily cross border purchases where VAT reverse charge procedures apply and having correct VAT details are imperative.
- Listen to your customer and what their needs are. We made it clear from the beginning that we are looking into Payhawk because we would like to automate parts of the expense management process. However, all we talked about was the cards. We do fully understand that the cards / cashback are meant to be one of the main perks but not all customers get the platform just for the cards and we made that pretty clear.
- Improve your communication with the banks you work with and shorten the period for opening accounts that are not denominated in EUR / GBP. In our case that took 3 weeks and number of follow ups and pushes from our side.
- It will be very helpful if you could work on functionality allowing to exchange funds from one currency to another within the platform. For instance, if you do not have sufficient amount of GBP, to be able to transfer from your EUR balance. I totally understand that this will come at a price but sometimes when in need of funds in specific currency and the bank transfer takes some times, that could be a very valuable option.

The idea is right in general but UX needs improvements - not enough details and progress tracking of expense reimbursement orders, OCR-autofill makes mistakes

I like the tool, however the status of the submitted expenses is not very clear at first sight. Also, there's no feature parity between desktop and mobile (on mobile, the status is even more unclear).
The CTA on the dashboard 'submit expenses' is misleading, as there's no action required. It makes one feel, one missed a step and forgot to submit something

Pretty good solution, specially for companies scaling up with payments, invoicing and bank transfers needs.
Their OCR is the best in the market, capable to read data in different languages and of course, the 3% cash-back! This allow companies to get their monthly service for free.
