Charged close to £7000 for office at Covent Garden Spaces after cancelling and never used the office. No support from Spaces whatsover

I signed up for a monthly rolling office at Spaces Covent Garden (start date 6 January 2025, £590.80/month). I had signed on behalf of a new unregistered business, that would only start once the office space was secured.On 2 January, I informed the centre that my business would not be proceeding due to the withdrawal of client and financial hardship. A team member acknowledged this and said I could “terminate” the lease,which I took to mean the contract would end after the initial period of January and February.

I never occupied the office, used the space, or booked any services. I waited for an invoice to disengage for the first two months, but none came. Instead, in March, I discovered I was still being billed. I immediately sent an email explaining to the team member at Spaces my situation and that I had only expected an invoice for Jan and February instead i got a highly inflated bill with charges for bookings I never made. I requested assistance from the team member or to be referred to the decision maker. That email was never responded to.

On the 1st of May I got in touch with the reception team as I am by this time in utter shock as to how high the invoice had become. I again explained my situation that I cannot afford to pay £590.80 per month. I am currently on maternity allowance and get less than £700.00 per month which my daughter and I depend on. The reception team informed me that whilst it was in their discretion to do early termination, the financial reasons I had made were not good enough and that I had to settle the full bill. Thereafter, Legal Collections got in touch with me demanding full payment. This time around, the Legal Collections team said I was liable to pay the full amount as I had not terminated on the portal. Never mind that I did not use their services, that I had been forthright about not taking the lease, never mind that I sought assistance from the team member and got no response. Despite no use and multiple good-faith attempts to disengage. I was also told I should have terminated via the portal, something I was never advised to do.

As a new mother on maternity allowance, I find this deeply unfair. I acted early, communicated clearly, and never used any part of the service. Internal communications now show even the centre team member acknowledged my hardship and that I had not used the office.

I hope Spaces will now review this fairly and stop enforcing a disproportionate debt for services that were never accessed.

I provided email evidence with all the efforts I made to disengage with your office with no assistance whatsoever.There is no accountability from your team and you seem to want to rely on technical aspects to hold me liable for this amount. I have been responsive and responded to your team members, there seems to be a disconnect internally as its clearly not true that I am not responsive. All the effort to disengage have been from my end from the very beginning up to now.

We are sorry for your frustrations but your comments deserve defending.
You made a business commitment by signing a month-to-month agreement from 6 January 2025 (you can check this and your invoices online at myspacesworks.com). If you chose not to occupy the space, that may be your choice but the office remained vacant and reserved for you until it was eventually restricted in May due to non-payment.
We go to great lengths to ensure that customers are aware of their agreements and payment is made for services that are readily provided.
We have contacted you and asked for evidence of your earlier termination notices but you have not provided them, so your account remains unchanged. We coordinated with our internal collections team who also contacted you to support but you are now unresponsive.
Our position is fair. We encourage you to settle the balance to prevent further collection efforts, you can find out how to do so through your online account.

Terrible Experience – Spaces London - Covent Garden has not paid Court-Ordered Reimbursement

We are having a terrible experience with Spaces London - Covent Garden.
Despite a court ruling clearly ordering them to reimburse our company for costs unlawfully retained by them (claim no. L2QZ3M4G), they have failed to honor the decision. It's been months, and despite repeated attempts to resolve the issue, we've been met with silence or empty promises.
They even claimed to have processed the payment, but no proof or payment have ever been provided.
The lack of professionalism and accountability coming from the community manager and her team has been shocking. Not only have they ignored a legal obligation, but their customer service team has been unhelpful, dismissive, and evasive. This company shows complete disregard for both their legal responsibilities and their clients.
Do yourself a favor and find a company that actually honors its commitments and values its customers – this one does not.
In our case their lack of integrity and complete disregard for customers has been nothing short of appalling.

Really grim customer service

We booked through their online system and received an email to say that we had the unit we requested, then a few days later they said that there had been an error and that our unit was no longer available. They persuaded me to move into another temporary space until an office became available like the one we had originally booked. We waited months for the right space and when we did move across we found that the air con was faulty and was very noisy (constant loud rattling) and yet they couldn't switch it off or fix it. After 3 months of complaining about this led nowhere I eventually withheld a rent payment to try to escalate the problem. However, instead of getting anywhere they just cut our internet and refused to switch it back on until I paid a 'late payment' fee. I explained that I had only paid late in desperation to get our problem dealt with but they said they had no control of the 'central billings'. In the end I had to pay the fine to get internet back and I was never able to speak to anyone senior who could ever deal with this. They still didn't fix the air con issue and, in the end, we just gave up and left. We would have been a long-term client but they just don't care and there is zero commitment to customer service. We are now happily in another business centre 2 minutes walk away and it is 'night and day' in terms of customer service. Don't move to Spaces if you expect remotely good customer service - be warned!

The response below from Spaces is fairly typical and untrue. We were never offered a portable air con unit and they were never able to offer a remotely comparable office. More importantly, despite months of agro it is more-or-less impossible to escalate anything when things go wrong. We also never got an apology let alone an offer of a rent discount until things were fixed. They have major customer service issue in this business.

We can only apologise that your preferred office was unavailable. A situation such as this is extremely rare and we’re working hard to ensure it doesn’t happen again. We provided you with a larger office for the same price and ensured you had first refusal on any other offices that became available.
The maintenance of our facilities is very important, and we can assure you of our highest standards. We aim to resolve issues such as this as quickly as possible and provided you with a portable air conditioning unit to ensure your comfort; you were also offered an alternative office which you declined.
We appreciate this situation was frustrating for you but please understand that we still require that your monthly invoices are paid to avoid service restriction.
